FREQUENTLY ASKED QUESTIONS

Do you allow birthday parties?

No. We do not allow any personal/private parties or events in our meeting rooms, or any other spaces in the facility.

Who can reserve the Community and Program rooms?

Meeting rooms can be reserved by groups that fall into the FCC’s eligible organization categories—City of Fishers departments, partnered organizations, Fishers-based nonprofits, local clubs/HOAs/social groups, and Fishers-based businesses whose missions and values align with the City of Fishers.

Reservations must be made by someone 18 or older, and that group’s representative (the “responsible party”) must sign a liability waiver. Anyone under 18 attending must be accompanied by an adult.

Do you have to be a member or Community Pass holder to reserve a room?

No, our program rooms are available to everyone to reserve! No membership or Community Pass is needed.

How are reservations prioritized?

Reservations are accepted on a first-come, first-served basis, but in cases of conflict, the following priority applies:
1. City of Fishers, FCC, and Fishers Health Department programs
2. Official City partnerships
3. Qualified Fishers nonprofits
4. Fishers-based clubs, HOAs, and community/social organizations
5. Fishers-based businesses

Are there any types of events that are not allowed?

Yes. The following are not permitted:
– No gambling, games of chance, bingo, casinos, or wagering of any kind.
– No gatherings for the purpose of commercial sales.
– No fundraisers, such as garage sales, bake sales, etc.
– No private/personal parties or events, such as weddings, graduations, or birthday parties.
– No rentals will be allowed for any rooms or spaces at the FCC.
– No political parties are allowed to use the meeting rooms.

How far in advance can I book a room?

– City and partner groups (Groups #1–2): Up to 1 year in advance
– Public groups (Groups #3–5): No more than 3 months in advance and no less than 7 days prior to the meeting

How often can you reserve a meeting room?

Eligible public groups may reserve a room up to 4 times per calendar year.

What amenities are included in the rooms?

Rooms include:
– Tables & chairs
– Sink & countertop space
– 86” flat-screen display
– Wi-Fi
– Access to restrooms, drinking fountains, and free parking
Access does not include member-only areas unless individuals have their own FCC membership.

Is there a TV or monitor available in the meeting rooms for connecting a laptop or device to share presentations?

Yes. The Program Rooms and Community Room each feature an 86″ flat-screen display. You can connect to the screen through Air Media, so there’s no need for HDMI cables.

Are outside food and drinks allowed?

Yes—food and non-alcoholic beverages are allowed. Groups must clean up all items and take leftovers with them.

What are the clean-up responsibilities?

Group members are responsible for room clean-up at the end of the meeting. The group’s reservation time should include any time needed for set-up and clean-up.
– Leave the room in the same condition as it was found
– Tables/chairs must be returned to the original layout
– Trash must be disposed in designated receptacles

Are there rules about promoting a meeting?

Yes:
– Publicity must list your organization’s contact information
– The FCC cannot be listed as a sponsor or point of contact
– No posters or signs for non-City events may be posted on FCC property

What activities are prohibited inside the meeting rooms?

The following are not allowed:
– No alcohol.
– No weapons.
– No drugs.
– No smoking or vaping.
– No animals – only animals providing personal assistance to the owner are allowed, such as service dogs.
– No open flames, lit candles, or chafing dishes.
– No glitter, confetti, rice, birdseed, etc.
– No loud music or unsafe activities.
– No objects are to be attached to the floors, walls, ceiling, doors, or furniture by any method. (note: removable mounting putty is permitted)
– No chewing gum.
– No moving FCC furniture outside the room.
– No blocking/obstructing room exits.
– No disorderly conduct or unreasonable noise levels.

Can equipment or materials be stored before or after a meeting?

No. The FCC cannot store any personal property, supplies, or equipment.

What if something gets damaged?

Your group is responsible for all damages. Groups that cause damage may lose future meeting room privileges.

Can the walls be moved in the Program Rooms?

Room dividing walls are to be operated by FCC staff members only. When making your reservation, you will be able to request the layout of the Program Rooms.

Are restrooms available nearby the rooms?

Yes, public restrooms are located down the hall from the meeting rooms.

How does parking work?

Parking is free and available in our main parking lot located outside of our building.

Are these rooms ADA accessible?

Yes.

Does it cost anything to reserve a meeting room?

No. Meeting room reservations are free for qualifying groups, and no deposit is required.
